What to ask a caterer before you book

A cheap quote can become an expensive event if the caterer cannot deliver or cannot be paid by your finance team. These are the questions that separate reliable caterers from risky ones. They also make vendor approval at a company or NGO much quicker.

Documents

  • Food safety or health certificate. Ask for a copy, and check that it is current.
  • Business permit. It shows the business is licensed to operate.
  • Insurance. Ask what it covers, in case something goes wrong at your venue.
  • Tax-compliant invoices. In Kenya, businesses issue electronic tax invoices through the Kenya Revenue Authority's eTIMS system. Ask whether the caterer can give you one for your accounts.
  • LPOs. If your company pays against a local purchase order, ask whether the caterer accepts them.

The quote

  • Is the price per person, and what is included in it?
  • How many serving staff will attend?
  • Who supplies chafing dishes, crockery and setup?
  • What are the payment terms, and what happens if you cancel or change the guest count?

Delivery on the day

  • When will the team arrive, and how long before your guests?
  • What is the plan if a dish runs short or equipment fails?
  • Can they handle your dietary needs, including vegetarian, vegan, halal and gluten-free?

Proof

  • Which similar events have they catered, and can you see photos?
  • Can they share a contact from a past client?
At The Feastify, we hold a food safety certificate, a business permit and insurance. We issue eTIMS invoices and accept LPOs. Ask us for copies when you request a quote.
